Website information
How AX4T LTD handles enquiries, business relationships and personal information.
AX4T LTD is a company registered in England and Wales, number 16280124. Its registered office is 26 Garden Close, Maidstone, United Kingdom, ME15 8AX. Contact: hello@ax4t.com. AX4T is the controller for personal information used to handle its own enquiries, business relationships, invoices and website administration. This notice applies to people who contact AX4T and to representatives of business clients and suppliers.
You may provide your name, business name, contact details, enquiry, project brief, supplied materials, correspondence, billing information and payment references. Information may also come from your employer or authorised colleagues, a referral, public business information, or a platform you authorise us to access. Website services may receive IP address, browser/device information, referring pages, visits and security events. Please do not send passwords or unnecessary sensitive personal information through the enquiry form.
We use enquiry and project information to understand requirements, reply, prepare proposals, deliver agreed work and administer the relationship. The basis is taking steps towards or performing a contract where the individual is the contracting party, or our legitimate interests in communicating with and serving a business where we deal with its representatives. Without relevant contact or project details we may be unable to respond or provide the requested service.
We use billing and payment information to issue invoices, reconcile payments and keep required accounting records. Legal obligations support statutory record keeping; legitimate interests support payment administration, resolving disputes and protecting accounts and systems. Replying to an enquiry does not automatically subscribe you to marketing. If you receive direct marketing from AX4T, you can object or unsubscribe at any time; where consent is the basis for an activity you may withdraw it without affecting earlier lawful processing.
Relevant information is handled by providers supporting email, hosting, website operation, security, accounting and professional advice, and by authorised people working on the engagement where needed. We use Microsoft 365 for business correspondence. Client-selected platforms may include Hostinger, GoDaddy and Wix, and Microsoft 365 may be administered through GoDaddy. A client’s platform choice does not mean every visitor’s information is shared with all these providers. Necessary disclosures may also be made to authorities or advisers where the law requires or permits them.
The website uses Google Analytics through its Google tag and includes Automattic statistics requests. These services receive technical visit information to measure website use. Google-hosted font resources and Hostinger-associated resources can also receive connection information when loaded. The Cookie Policy describes the observed storage and tracking tools and browser controls. Optional tracking must use an applicable permission or legal exception; this notice itself does not constitute consent.
If AX4T accesses a client’s website, mailbox or customer information solely to carry out that client’s instructions, the client normally determines the purposes of that processing. AX4T’s responsibilities, permitted access, confidentiality, subcontracting and return or deletion of information are then governed by the relevant processing agreement. Questions about that client’s own customer data should ordinarily be directed to the client; we will assist within our authority.
Cloud and platform providers may process information in more than one country. The arrangements depend on the service and account selected for an engagement. A restricted transfer requires an applicable adequacy decision, appropriate contractual safeguards or another lawful route. Contact hello@ax4t.com for information about the providers, relevant processing locations and safeguards for your engagement, or to request details of applicable safeguards.
Retention depends on why the information is needed. Enquiry correspondence is assessed against whether the discussion is active, a proposal is being considered, or there is a related relationship or dispute. Project and support records are assessed against the agreed service, handover obligations, ongoing support and the need to establish or defend legal claims. Company accounting records generally must be retained for six years after the end of the financial year concerned, with longer retention in specified circumstances. Information no longer needed for its purpose or a legal requirement should be deleted or anonymised. A provider’s backup and cookie expiry periods may differ from active records.
Depending on the circumstances, you may request access, correction, erasure, restriction or portability of your personal information, or object to processing based on legitimate interests. You can object to direct marketing at any time and withdraw consent where relevant. These rights have conditions and exceptions, including legal record-keeping requirements. Contact hello@ax4t.com; we may need proportionate information to verify identity. The website enquiry and invoicing workflow does not make solely automated decisions with legal or similarly significant effects.
Please contact hello@ax4t.com if you are concerned about how information is handled. You also have the right to complain to the UK Information Commissioner’s Office through ico.org.uk/make-a-complaint/ or by calling 0303 123 1113. You do not have to raise a concern with AX4T before contacting the ICO.
